Privacy notice for the contact form

Notice under Article 13 of Regulation (EU) 2016/679. It covers only the data you write into the contact form: for what happens while you simply browse, see the page on cookies and analytics.

Who processes your data

The data controller is bit Time Professionals S.r.l., Via di Valle Morta 10, 00132 Rome, Italy. VAT number 13018661002.

What we collect

Only what you write in the form:

  • first name and surname, so we know who we are speaking to
  • institution, so we understand what kind of ceremonies we are talking about and can prepare a relevant demonstration
  • email, so we can reply
  • telephone, if you would rather be called back: optional
  • notes, if you want to describe your case: optional

The fields marked as required are what we need to deal with the request. Without them we cannot reply. Please do not write special category data into the notes field, such as information about health or personal beliefs: we do not need it and we do not want to process it.

Why we process it

To answer your request, arrange the demonstration and give you the information on licences, onboarding and customisations.

The legal basis is Article 6(1)(b) of the Regulation: steps taken at your request prior to entering into a contract. We do not ask for consent because you are the one contacting us, and replying is exactly what you expect.

We do not use this data to send unsolicited commercial messages, we do not share it and we do not sell it. There is no profiling and no automated decision-making.

Who receives it

The form uses Formspree, Inc., a United States service that receives the submission and forwards it to us by email. Formspree acts as a technical supplier: the data passes through its systems before reaching our inbox.

That involves a transfer to the United States. Formspree’s public documentation does not clearly state which safeguard it relies on, standard contractual clauses or the Data Privacy Framework, and we are formalising the processing agreement with the supplier. If you would rather not go through a non-EU supplier, write to us directly at professionals@bittime.it: that message reaches us and nobody else.

Apart from Formspree, the only people with access are those at bit Time Professionals who handle enquiries.

How long we keep it

We keep the request and the correspondence that follows for 24 months from the last contact. If the relationship becomes contractual, the data falls under the retention periods that apply to contractual and tax records.

If you ask us to delete it sooner, we do.

Your rights

You can ask us at any time to:

  • tell you what data of yours we hold and give you a copy (Article 15)
  • correct anything wrong or incomplete (Article 16)
  • delete it (Article 17)
  • restrict the processing (Article 18)
  • give it to you in a machine-readable format, or transfer it elsewhere (Article 20)
  • object to the processing (Article 21)

An email to professionals@bittime.it is enough. We reply within one month.

If you believe the processing breaches the Regulation, you can complain to the Italian data protection authority, the Garante per la protezione dei dati personali (garanteprivacy.it), or to the supervisory authority of your own country, or take the matter to court.
