Replying to an invitation, with accompanying guests and representatives

Online replies to invitations have existed since 2019, but they only said yes or no. Anyone who wanted to bring someone, or send a representative, had to phone, and someone in the office took a note. From July the reply page has been rebuilt: the guest accepts or declines from their personal link, and on the same page says who is coming with them or who will attend in their place.

Accompanying guests and representatives

For each ceremony you set how many accompanying guests each invitee may bring and whether they may send a representative. Invitations take these rules from the ceremony, but you can change them for a single invitation: the vice-chancellor may come with two people, everyone else with one.

On the reply page the guest names who is coming with them or who is attending instead, even if those people are not in your registry. If the representative is announced by phone instead, you record it yourself from the invitation list.

The QR code on the invitation

Every invitation has its own QR code. It is the same code that lets the entrance recognise the guest without looking up their surname on a printed list.

Lists that are easier to read

The invitation list shows how many accompanying guests each invitee has and their precedence code, and the ceremony summary includes them in the total. Representatives entered by hand now also go into the seating arrangement. There is a new Excel export too, and the PDF and Excel exports have been fixed.
