What to print the night before, and who gets it

The night before the ceremony, once the seating plan is settled, you print. Printing everything for everyone is the quickest way to confuse the people in the hall, because each of them has a different question.

At the door

The person at the door has to recognise the guest and tell them where to sit. They need a list sorted by surname, with a photo where there is one, the office and the seat, and the name of anyone attending on behalf of someone else. At the end, add the list of people who have not replied: some turn up anyway.

Inside the hall

The ushers inside the hall think in seats, not surnames. They need the list sorted by seat number, row by row.

On the seats

Place cards with name and office go on the seats. Tent cards, folded on the platform table, often carry the surname only, so the hall can read it. For seats assigned at the last moment you need a card with just the number, to be completed by hand.
